RTO Student Administration Officer

 

Melbourne City Institute of Education (MCIE) is an outcome-focused, quality-driven, registered training organisation (RTO). MCIE offers a range of vocational courses to international and domestic students.

 

We are seeking an experienced full-time, fixed term Student Administration Officer (experienced in the SMS VETtrak) for an immediate start.

 

About the role

You will work as part of a small but highly efficient team responsible for all student administration – admissions and enrolment to completion. Some of your responsibilities include:

  • essential experience data entry for international admissions and, domestic enrolments
  • the maintenance and compliance of student records in VETtrak
  • identification of non-compliances and action rectification, and follow up
  • implement rectification plans for non-compliances to ensure lodgement timelines and targets are met
  • creating, maintaining and archiving student files as per contractual and regulatory requirements

About you

To be successful in this role, you will need to demonstrate:

  • experience in a similar role (VETtrak experience essential)
  • understanding of the international student market (the ESOS Act, ESOS Framework, PRISMS and CRICOS) and the Australian VET system
  • knowledge of Skills First VET Funding Contract, Standards for RTOs 2015, ESOS and AVETMISS requirements
  • outstanding communication and interpersonal skills to communicate with students and peers from diverse cultural backgrounds and work as a team member, and work autonomously
  • excellent attention to detail
    the ability to use Microsoft applications (essential) and TeamWork (not essential)
  • the capacity to manage multiple tasks in a frequently changing environment
  • the ability to prioritise tasks to meet deadlines
    excellent problem solving and organisational skills

Curriculum Development Specialist

The Curriculum Development Specialist is responsible for preparing Training and Assessment Strategies, and quality learning and assessment tools for each qualification on MCIE’s Scope of Registration.

An individual holding this position is responsible for ensuring MCIE training and assessment processes follow MCIE’s policies and procedures, is compliant with the Standards for RTOs, ESOS Standards, Skills First funding contract and all relevant legislation. Must ensure the strategies and tools provided to the L&D Departments support quality and compliance initiatives, student engagement, quality program delivery and industry consultation. And must ensure their actions lead to the efficient, ethical, compliant, and viable conduct of MCIE’s Training activities.

Roles and Responsibilities

  • Industry Consultation – consult with industry when developing Training and Assessment Strategies

  • Liaise with Curriculum Maintenance Managers.

  • Consult with businesses, business owners and managers when contextualizing assessment instruments to ensure relevance of MCIE’s courses to industry, document and maintain industry consultation documentation.

  • Participate in Industry Sector meetings to share knowledge and gain input to improvements

  • Training and Assessment Strategies (TAS) – Development of new and review existing TAS

  • Follow MICE processes for the development of TAS documentation

  • Ensure all tools provided to support training and delivery services meet the Standards for RTOs, ESOS Standards, Skills First Quality Charter, MCIE Policies and Procedures and all other compliance requirements and the required levels of quality in products and services is achieved.

  • Validation Processes – lead and manage the validation schedules of all departments.

  • Ensure all resources and assessments are reviewed and maintained according to MCIE’s continuous improvement policy.

  • Ensure all continuous improvements are recorded.

  • External and internal audits – provide documentation for and participate in and provide responses to audits:

    • ensure the following are accessible to an auditor: TAS documents

    • evidence of Industry consultation

    • evidence of validation activity

  • Extension to MCIE’s Scope of Registration – prepare required documentation.
